When to Update, Close, or Remove a Job Listing

An outdated vacancy wastes candidate time, creates unnecessary calls, and weakens trust in the employer and the platform.

Publishing a job is not the end of the employer’s responsibility. The advertisement should remain accurate while it is public and should be closed when candidates can no longer be considered.

Good listing management improves application quality, protects the employer’s reputation, and prevents job seekers from sharing documents for a vacancy that no longer exists.

Update details when the role changes

Edit the location, schedule, duties, experience, salary range, contact information, or number of vacancies when they change. Major changes may require a new review before publication.

Do not leave the original attractive terms visible while explaining different conditions only after candidates contact you.

Close the listing when hiring is complete

Once the position is filled and no additional candidates will be considered, close the advertisement promptly. This reduces calls and protects applicant time.

Keep internal records separately if you need them; the public post does not need to remain open.

Pause when recruitment is uncertain

If budget approval, project timing, or management decisions pause the hiring process, close or pause the listing instead of collecting applications indefinitely.

Reopen or publish again when the employer can genuinely continue.

Remove duplicate advertisements

Multiple identical posts can confuse candidates and create repeated applications. Use one accurate listing for each distinct role and location unless there is a clear reason for separate posts.

If a corrected listing replaces an old one, remove the outdated version.

Correct misleading or incomplete content

Remove claims that cannot be supported, unclear salary promises, unrelated keywords, discriminatory requirements, or contact details that no longer belong to the hiring team.

If the core role was described incorrectly, correct it immediately and consider informing candidates who already applied.

Monitor contact channels

Ensure the listed phone, WhatsApp, email, or application link still works and is checked by the right person. Replace contacts when staff responsibilities change.

An active advertisement with an abandoned number makes the employer look unreliable.

Communicate with applicants

When possible, tell shortlisted candidates if the role is filled, cancelled, or delayed. A short update reduces uncertainty and repeated follow-up.

Do not promise a decision date that the organization cannot meet.

Review active listings regularly

Set a weekly or scheduled review for every open vacancy. Confirm the role is still open, the information is accurate, and the application channel works.

A simple review routine prevents stale listings from remaining public for months.
